Key takeaways
- Start with headcount, dates and the format of the sessions. Venues list meeting rooms of very different sizes, from a 12-person boardroom to 18,000 square feet of flexible space.
- Published venue details are thin. Only a few list capacity, so request a proposal and ask for the room, catering and privacy terms in writing.
- Hurricane season runs June 1 to November 30. Plan for cancellation and change terms.
- Our sources are mostly the venues' own pages and a retreat vendor's blog, so they describe offers and do not rate quality.
An executive retreat works when the room, the schedule and the logistics all fit the group. South Florida offers oceanfront hotels, private clubs and city boardrooms within a short drive of two major airports.
This guide explains how to plan a retreat for an executive team: how to choose between venue types, what a few named venues publish about their meeting spaces and what to confirm before you book. It does not rank venues. We did not visit them, and public pages seldom describe privacy or service quality.
What do some South Florida venues publish about meeting space?
The table lists what each source states. Capacities are only given where the source gives them.
| Venue | Area | What its source says | Source type |
|---|---|---|---|
| Four Seasons Hotel Miami (Surfside) | Surfside | Two indoor meeting spaces, including an Executive Boardroom for up to 12 and the Barton Room for up to 50. The hotel describes a 9-acre oceanfront setting. | Hotel's own page |
| Club at Ibis | West Palm Beach | An Executive Boardroom for 14 people with wireless internet and PolyCom conferencing equipment. | Venue's own page |
| 1 Hotel South Beach | Miami Beach | 18,000 square feet of flexible meeting space, beachfront boardrooms, a rooftop terrace and oceanfront bungalows. | Retreat vendor's blog |
| Miami Beach EDITION | Miami Beach | Flexible event spaces including oceanfront boardrooms, plus an entertainment complex and poolside cabanas. | Retreat vendor's blog |
| Loews Miami Beach | Miami Beach | Ballrooms, breakout spaces and technology-equipped meeting rooms. | Retreat vendor's blog |
The vendor blog, from Marco Experiences, sells retreat planning, so its descriptions are promotional and it gives no capacities except the square footage above. It also lists The Palms Hotel and Spa, Boulan Hotel South Beach and Cadillac Hotel and Beach Club. Whether a private club such as Club at Ibis accepts bookings from non-members is not stated on its page, so ask.
How do you choose the right type of venue?
- Hotel boardroom: best for a small leadership group of about 10 to 15. Look for a dedicated room, quiet access and in-house catering.
- Larger resort or beach hotel: suits bigger teams that need breakout rooms and several days of sessions.
- Private club or golf setting: may offer more privacy and a distinct atmosphere, but check who can book and what is included. Our guide to joining a private golf club explains how club access works.
- Whole-property buyout: the most private option, but the cost and minimums are usually only available by quote.
How do you plan the days and the food?
Keep the structure simple. Many retreats work best with focused sessions in the morning and shared time in the afternoon, whether that is golf, a boat or a long dinner.
For dinners, book early. Our guide to getting a table at Miami's hardest reservations explains how booking platforms and policies work. For a group, ask about private dining rooms and set menus, since large tables are often handled through a venue's events team.
If the retreat involves a boat day, our yacht charter guide covers what to ask. For a weekend outside the country, the Bahamas guide explains the route.
When should you hold a retreat?
Hurricane season officially runs from June 1 to November 30. Winter and spring are the busiest and most expensive months for South Florida hotels. Our guide to the best time to visit Miami gives a month-by-month view. Whatever dates you pick, ask about cancellation, rebooking and weather clauses before you pay a deposit.
What should you confirm before booking?
- The exact room, its capacity for your layout and who else will use adjacent spaces.
- Minimum spend, room rental and any food and beverage commitment.
- Catering options, including dietary needs, private chef arrangements and the venue's rules on outside caterers.
- Audio-visual equipment, internet reliability and technical support.
- Privacy: who has access to the meeting room, and whether guests can be kept out of the area.
- Transport from the airport and between sessions.
- Cancellation, deposit and weather terms in writing.
